Our transparent refund and cancellation rules. Learn how milestone payments protect both parties during the development lifecycle.
RootThrive uses a milestone-based billing system to align work progress with client payments. This model ensures the client only pays for approved deliverables, and our engineering team is fairly compensated for completed sprints.
Each phase of a project requires a formal client review and sign-off. Once a milestone is reviewed, approved, and paid for, those funds are considered non-refundable as they represent completed, validated work.
Every custom website, mobile application, or automation pipeline requires a kickoff deposit before design or development sprints begin. This deposit secures our team's resources and covers the initial research and discovery phase.
Deposits are non-refundable once discovery meetings have concluded and wireframes or technical architecture documentation have been delivered to the client.
A client may request a partial refund of the current active milestone payment under the following conditions:
1. RootThrive fails to deliver the specified milestone deliverables outlined in the Statement of Work (SOW) after the agreed sprint duration.
2. The client decides to terminate the project mid-sprint before any development, coding, or system design has begun on that specific phase.
Refunds will not be issued in the following scenarios:
1. The project is completed, deployed, and live on the client's production domain or app store accounts.
2. The client changes their business direction, branding, or scope requirements mid-project, requiring completely different specifications than what was agreed in the SOW.
3. Overdue payments or lack of client feedback causes project delays or automatic project suspension.
To cancel an active project, clients must submit a written cancellation request via email to rootthrive.business@outlook.in. Upon receipt, we will stop all active sprints, compile the code deliverables completed up to that point, invoice for any outstanding unbilled hours, and transfer the assets to the client.
